A leading professional networking company seeks a creative, enthusiastic, and experienced Payroll Specialist to join the Global Payroll and Employment Tax team. The successful candidate will provide exceptional support to our employees and business groups, and deliver a complete and accurate flow of data to internal and external stakeholders to ensure that all compensation, deduction, and taxation details are understood. Payroll Specialist Pay and Benefits:

  • Hourly pay: $30-$45/hr (Pay varies based on the candidate's experience and location)

  • W2 Employment, Group Medical, Dental, Vision, Life, Retirement Savings Program
  • 40 hours/week, 12 Month Assignment

Payroll Specialist Responsibilities:

  • Payroll Processing and Administration
    • Bi-Weekly Payroll Processing: Perform accurate preparation and processing of bi-weekly US and Canada payroll, including new hire and termination processing, leave of absence payments, retroactive payments, commissions, one-time non-recurring payments (e.g., bonuses, perk-up payments, patent awards, non-cash awards).
    • Taxable Benefits: Process taxable benefits such as gifts and transit commuter programs.
    • Stock-Based Compensation: Process stock-based compensation transactions (ESPP Disqualified Dispositions, RSUs, Non-Quals, and ISOs).
    • Assist in ESPP stock purchase and enrollment on a quarterly basis.
    • 401(k) Contributions: Audit and post 401(k) contributions and demographic files to Fidelity on a bi-weekly basis.
    • Multi-State Payroll: Process multi-state bi-weekly payroll for over 11,000+ employees while adhering to deadlines.
    • Termination Payments: Responsible for calculation and reconciliation of all terminations according to state regulations.
    • Payroll System Updates: Ensure employee information is properly updated in the payroll system via Workday integration and resolve discrepancies with appropriate teams.
    • Compliance and Policy Adherence: Strong policy advocate to ensure all transactions are compliant with internal policies and procedures.
    • Adhere to corporate policies and procedures.
  • Taxation: Understand and ensure proper taxation of employer and employee-paid benefits through accurate payroll processing.
  • Reporting and Documentation
    • Report Preparation: Develop and write ad hoc reports pertinent to internal and agency requirements.
    • Prepare and maintain standard and ad hoc reports and queries.
    • Payroll Knowledge Maintenance: Review and maintain payroll knowledge articles.
  • Process Improvement and Efficiency
    • Process Improvements: Assist in identifying process improvements to ease day-to-day payroll activities.
    • Assist manager with process improvement efficiencies.
    • Special Projects: Handle special projects and additional tasks as needed.
  • Collaboration and Support
    • Vendor and Team Liaison: Liaise with ADP, Talent Services, and Payroll Operations teams to identify open cases and ensure timely resolution.
    • Payroll Queries and Reconciliation: Provide research, analysis, and reconciliation for payroll-related queries or unexpected results and recommend practical solutions.

Payroll Specialist Qualifications:

  • 5+ years of multi-state payroll experience.
  • FPC or CPP certification is a plus.
  • Extensive knowledge of US and Canada labor laws and regulations.
  • Familiarity with US and Canada payroll regulations is a plus.
  • Experience with international and expatriate payrolls, as well as equity compensation, is highly valued.
  • Professionalism and the ability to communicate with sensitivity are essential qualities for success in this role.
  • Driven, task-oriented, and capable of independently managing projects while remaining flexible and collaborative within a team environment.
  • The ability to work with minimal supervision, handle multiple priorities, and adapt to shifting demands is crucial.
  • A high level of attention to detail is required.
  • Proficiency in Microsoft Excel, including advanced functions such as VLOOKUPs, Pivot Tables, and IF statements.
  • Expert-level knowledge of the full Microsoft Office suite (Outlook, Word, PowerPoint, and Excel) is necessary, along with experience using ADP Global (SAP-based system), ADP Smart Compliance, Workday, ServiceNow, Pro-Business, R&R, Report Writer, and various payroll software systems.
  • A solid understanding of payroll and tax withholding compliance requirements.
  • Strong communication, organizational, analytical, and customer service skills.
  • Able to maintain confidentiality and exercise discretion at all times, demonstrating a high degree of accuracy and urgency in their work.
