A leading university is seeking a Faculty Programs and Events Coordinator to support faculty development initiatives through event planning, communications, and administrative coordination. This role will manage workshops, programs, and events while supporting operational processes and communications for faculty engagement activities.

Faculty Programs and Events Coordinator Responsibilities:

  • Plan and coordinate workshops, programs, and events from start to finish, including venue coordination, catering, travel arrangements, event services, registration management, onsite support, and event setup/breakdown for both in-person and virtual programs.
  • Prepare and distribute event-related materials and communications, including agendas, flyers, name badges, signage, email announcements, reminders, surveys, attendance tracking, and post-event follow-up communications.
  • Serve as the primary point of contact for vendors, speakers, program partners, and guests while managing vendor services, tracking program expenses, and ensuring events align with project goals, budgets, and timelines.
  • Provide administrative and financial support, including meeting note-taking, maintaining event templates and operational procedures, processing purchase orders and vendor payments, reconciling procurement card transactions, and identifying opportunities to improve workflows and streamline event processes.
  • Manage communications schedules, update websites with event information, compile program content for newsletters, and collaborate with leadership to prepare communications and promotional materials for faculty engagement initiatives.

Faculty Programs and Events Coordinator Qualifications:

  • Bachelor’s degree and 3+ years of relevant experience in event planning, program coordination, communications, or administrative support, or a combination of education and experience.
  • Demonstrated experience planning and coordinating events or educational/professional programs independently from start to finish.
  • Proficiency with Microsoft Office Suite and Google Workspace.
  • Experience with Zoom and willingness to learn hybrid meeting technologies.
  • Familiarity with website management tools such as Drupal and design tools such as Canva or Adobe is preferred.
  • Prior experience in a higher education or university environment is preferred.
  • Ability to work independently and collaboratively with a wide range of stakeholders and audiences.
  • Reliable transportation and the ability to arrive on-site for events and program support as needed.

Shift:

  • Hybrid schedule with onsite support required for events and programs on the university campus and surrounding locations.
