A leading university is seeking an experienced and highly organized Administrative Associate to provide executive support to the Dean's Office of the School of Medicine. The successful candidate manage complex events, including conferences, seminars, and meetings. They will be responsible for composing and editing documents, ensuring accuracy in various reports and unit materials. The ideal candidate has experience with event coordination, calendar management, and travel arrangements, and a strong ability to prioritize tasks, multi-task, and resolve conflicts. Strong communication skills, attention to detail, and the ability to take initiative and work effectively with diverse teams will be key attributes for success in this role. Executive Assistant Pay and Benefits:
- Hourly pay: $40hr
- Worksite: Leading university (Stanford, CA 94305 - Onsite)
- W2 Employment, Group Medical, Dental, Vision, Life, Retirement Savings Program, PSL
- 40 hours/week, 3 Month Assignment
Executive Assistant Responsibilities:
- Act on behalf of the supervisor in regard to establishing priorities and identifying and resolving problems that are administrative in nature.
- Oversee and/or perform duties associated with scheduling, organizing, and operating complex conferences, seminars, and events, including arranging with vendors for services, overseeing the production and distribution of materials, administering logistics, and managing events within budget.
- Compose and draft documents and correspondence for presentations, grants, conferences, seminars, and reports; perform editing and fact-checking.
- Create, maintain, modify, and/or ensure the accuracy of content in various forms, applications, unit documents, displays, and/or reports
- Plan and schedule calendar(s), resolve calendaring conflicts and arrange travel in compliance with unit, university, and sponsor policies.
- Process a variety of financial transactions; produce, monitor, and reconcile budget statements; research, identify, and resolve discrepancies.
- Make travel arrangements and help prepare complex itineraries
Executive Assistant Qualifications:
- 4+ years of administrative experience, or a combination of education and relevant experience.
- A high school diploma is required.
- Advanced computer skills and demonstrated experience with office software and email applications.
- Demonstrated success in following through and completing projects.
- Excellent organizational skills and attention to detail.
- Strong verbal and written communication skills.
- Excellent customer service and interpersonal skills.
- Ability to prioritize, multi-task, and assign work to others.
- Ability to take initiative and ownership of projects.
- Ability to routinely and independently exercise sound judgment in making decisions
- Team-oriented and able to create positive relationships with stakeholders in and outside of the Dean’s Office
