A leading medical institution is seeking an Executive Assistant to provide executive-level administrative and operational support by managing complex calendars, coordinating meetings and communications, supporting special projects, handling confidential information, and serving as a key liaison between executive leadership, internal departments, and external stakeholders.

Executive Assistant Responsibilities:

  • Provide executive-level administrative support by managing complex calendars, coordinating meetings, preparing agendas and meeting materials, arranging travel and logistics, and supporting the day-to-day priorities of executive leadership.
  • Serve as a primary liaison between executive leadership, internal departments, campus partners, donors, and external stakeholders while managing executive communications with professionalism and discretion.
  • Support administrative operations and special projects by coordinating activities, tracking deliverables, assisting with planning initiatives, and providing project management support as assigned.
  • Maintain and manage confidential information, including sensitive donor and organizational information, while exercising exceptional judgment, professionalism, and discretion.
  • Provide occasional backup administrative support to executive leadership and contribute to efficient operation through strong organization, prioritization, and problem-solving.

Executive Assistant Qualifications:

  • 3+ years of experience providing executive-level administrative support in a fast-paced professional environment.
  • Bachelor's degree in a related field or an equivalent combination of education, training, and experience.
  • Experience in complex calendar management, meeting coordination, executive communications, travel arrangements, and preparing executive meeting materials.
  • Experience supporting senior executives and managing confidential information with discretion is preferred.

Shift:

  • Hybrid: 2-3 days per week onsite.
  • Monday to Friday, 08:00 am to 5:00 pm PST.
