Executive Assistant

We are looking for an Executive Assistant to provide executive and organizational support to a VP in the Learning Solutions business department. The ideal candidate must be proactive with excellent problem solving and judgment skills. The individual must be able to handle details of a highly confidential and critical nature, interact comfortably and skillfully with senior level executives within and outside the company, as well as with customers, vendors and visitors. He/she will be expected to resolve time-sensitive issues with a high degree of precision and exhibit strong organizational, written and verbal communication skills. Attention to detail and the ability to anticipate the needs of the executive are a must. The ability to credibly and competently interact with other executive assistants and managers within/outside of company is required. The individual will be expected to apply common sense and execute tasks with minimal direction.

Responsibilities:

  • Plan, organize and manage multiple calendars
  • Coordinate all meetings, special events such as department all-hands or off-sites on behalf of manager
  • Coordinate all travel arrangements
  • Manage and reconcile expense reports and purchase requisitions submissions
  • Develop and manage meeting communications and cadence activities
  • Collect and prepare information for the use in presentations/meetings
  • Work with Finance for monthly budget reconciliation
  • Act as facilities coordinator for the local team
  • Manage special projects for and with the senior staff
  • Provide back-up support for other executive administrators
  • Accommodate a flexible work schedule

Qualifications:

  • 5+ years of experience working at a senior administrative assistant and/or executive assistant level
  • Exhibits confidence, composure and professionalism in a fast-paced environment
  • Demonstrates strong organizational skills
  • Expert knowledge of Microsoft applications including Outlook, Word, PowerPoint and Excel
  • Excellent multi-tasking skills with an ability to prioritize tasks and work within deadlines with little supervision
  • Team player with a positive attitude
  • Ability to work independently and proactively
  • Flexibility and the ability to change directions quickly
  • Ability to take initiative and exercise good judgment, discretion, and confidentiality in all tasks
  • Excellent communication skills
  • Ability to learn/adopt new technologies and processes
  • Project management experience

$45-$55 Per Hour           San Francisco, CA 94105​              7 Month Assignment
