Editorial Administrative Assistant 5115 *

We are looking for an Editorial Administrative Assistant to provide executive and organizational support to its Editor in Chief. The individual must be able to handle details of a highly confidential and critical nature, anticipate the needs of the executive and execute tasks with minimal direction. The ability to comfortably and skillfully interact with employees across various levels, teams, time zones, and cultures, as well as outside visitors, is a must. He/she will be expected to resolve time-sensitive issues with a high degree of precision and exhibit strong organizational, written and verbal communication skills. The individual will sit on a team of 50+ editors around the world who curate, create and cultivate news and views for 610 million members. While not required, candidates with experience in journalism will be preferred.

Responsibilities:

  • Manage and organize the executive’s calendar (includes resolving overlapping commitments, booking rooms, accommodating various time zones and protecting time for priorities)
  • Document meeting minutes and manage action items
  • Coordinate all travel arrangements
  • Work with an executive to set the agenda for team all-hands and show & tells
  • Submit expense reports
  • Help project-manage editorial initiatives that may include working closely with other editors and cross-functional teams to enforce deadlines and deliverables
  • Help plan a yearly offsite for the entire team, including finding/securing a venue, setting the agenda, organizing team-building activities and working with Finance on budget
  • Work with Facilities on workplace issues in NYC (includes managing team conference rooms and coordinating seating arrangements)
  • Accommodate a flexible work schedule

Basic Qualifications:

  • 1+ year experience working at the senior or executive level in an administrative or coordination role

  • Ability to see other people's points of view
  • Ability to take initiative and exercise good judgment, discretion, and confidentiality in all tasks
  • Excellent communication, teamwork, and organizational skills
  • Ability to quickly learn and adopt new technologies and processes
  • Experience with project and budget management
  • Ability to effectively manage time, prioritize tasks and work within deadlines with little supervision
  • Ability to confidently interact with senior and executive level management
  • Expert knowledge of MS Office (Outlook, Word, PowerPoint, and Excel)

$31-$34 per Hour         New York, NY 10118         12 Month Assignment
