A leading university seeks a Contract Services Administrator. The successful candidate will perform calendaring, inventory management, and other administrative/operational tasks to support the Real Estate Department. The company offers a great work environment!

Contract Services Administrator Responsibilities:

  • Document Handling:
    • Scan, rename, upload, and email elevator paperwork, fire testing reports, and other compliance documents.
    • Ensure accurate labeling and filing according to standardized naming conventions.
  • Error Reduction:
    • Develop and use a quality control checklist to verify accuracy at each step.
  • Gather and organize initial data from existing records and stakeholders.
  • Create structured systems (databases, calendars, and folders) for tracking and scheduling.
  • Provide weekly updates on progress and identify areas for improvement.

Contract Services Administrator Qualifications:

  • 1+ years of administrative experience in calendaring, inventory management, or similar roles.
  • Experience with Microsoft Excel and Smartsheet, including advanced functions like VLOOKUP.
  • Exposure to facilities management, contracted services, or regulatory compliance is advantageous.
  • Proficient in data entry and system setup.
  • Understanding of asset and vendor management practices.
  • Driving is required.
  • A valid driver's license.

Shift:

  • Monday to Friday from 7 am to 4 pm.
