A leading university is seeking an Administrative Associate to support research administration by managing procurement, financial reporting, travel coordination, reimbursements, vendor relationships, and operational activities.

Administrative Associate Responsibilities:

  • Prepare, process, and track purchase orders, manage procurement activities, and ensure compliance with purchasing policies and procedures using the OBI (Oracle Business Intelligence) system.
  • Coordinate travel arrangements, process reimbursements for the Principal Investigator and research team, manage expense documentation, and support financial reporting in accordance with university policies.
  • Coordinate vendor relationships by arranging services, resolving procurement issues, and maintaining effective communication to support research operations.
  • Manage operational support activities, including scheduling and reserving classrooms or meeting spaces for students, maintaining research-related records, and supporting administrative functions.
  • Update website content as needed and collaborate with faculty, researchers, vendors, and university stakeholders to ensure efficient communication and successful project support.

Administrative Associate Qualifications:

  • Bachelor's degree.
  • 3+ years of experience supporting research, academic, or administrative operations in a university or similar environment.
  • Extensive experience using OBI (Oracle Business Intelligence) for financial reporting, procurement, and operational support.
  • Thorough knowledge of university procurement, purchasing, reimbursement, travel, and financial policies and procedures, with experience managing purchase orders, vendor coordination, and expense processing.
