A leading medical institution seeks an Administrative Assistant to the Executive Director of Healthcare. The successful candidate will provide principal confidential administrative support to the Executive Director and its management team, and maintain a responsive relationship with the day-to-day activities of the departmental staff, consultants, and clients.

Administrative Assistant - Healthcare Responsibilities:

  • Financial Responsibilities: Handle day-to-day fiscal matters.
  • Administrative Support: Provide confidential administrative support to the management team. Maintains confidentiality of sensitive corporate documents and records.
  • Calendar Management/Travel:
    • Maintain complex calendar schedules for the management team. Coordinates travel arrangements for the management team.
    • Update and maintain the weekly staff schedule.
  • Customer Service:
    • Understand, support, promote, and adhere to the customer service philosophy and standards of the department.
    • Interface with a wide variety of professional and community organizations on behalf of the management team.
  • Fiscal Management
    • Complete expense reports and submit them to the department for the management team.
    • Reconcile invoices, corporate credit card purchases, and oversee the process.
    • Coordinate fee requests and payment schedules for outside consultants.

Administrative Assistant - Healthcare Qualifications:

  • 3-5+ years of progressively responsible administrative assistant experience.
  • Experience preferably in a healthcare delivery system or a medical office.
  • High School Diploma, GED, or equivalent
  • A bachelor's degree in business is preferred.
  • Excellent administrative skills, including proficiency in Microsoft Word, Excel, PowerPoint, and 10-key calculators.
  • Ability to take and transcribe accurate minutes.
  • Ability to work with all levels of staff within CHO (Community Health Officer) and externally.
  • Ability to work harmoniously within a culturally diverse employee population.

Shift:

  • 08:00 am - 05:00 pm.
