This role will be responsible for supporting two of our executives in the Marketing Organization. The ideal candidate will lead day to day activities, calendar scheduling, travel expenses, manage and coordinate special projects, serve as liaison between staff and executives and contribute to business by taking on various responsibilities. This is a great opportunity for an experienced assistant with excellent initiative to be part of a fast paced team.

Responsibilities:

  • Provide administrative support to two executives including but not limited to answering phones, managing calendars, registering and greeting guests, handling all expenses and event planning
  • Coordinate travel, including flight reservations, hotels, and car services
  • Assist with managing logistics for meetings led by executives including organizing agendas, attendee list, reserving conference rooms, preparing written materials, setting up audio/visual, managing catering, suggest restaurants and book reservations, etc.
  • Manage calendar to include key meetings with executives and leadership team members
  • Prepare Travel & Expense reports, reconcile corporate card expenses and uphold company T&E policies
  • Take lead and/or assist in organizing and coordinating events as needed (e.g., team building events, happy hours, lunch meeting, office events, etc.)
  • Prepare and edit correspondence, reports and presentations
  • Manage the annual Marketing Team offsite
  • External event management, including budget ownership & vendor negotiations.

Requirements:

  • 2+ years of Assistant experience, preferably in Digital Media
  • Must be a highly organized, self-starter with ability to handle and prioritize multiple tasks at once
  • Must have strong verbal and written communication skills
  • Must be a collaborative, team player and takes initiative
  • Superior judgment, professionalism, exude confidence, poise, ability to maintain the highest level of confidentiality, and assertiveness
  • Excellent ability to maintain composure and effectiveness in a fast paced environment
  • Superior attention to detail, follow through and customer service
  • Strong time and project management skills
  • Must be intuitive, able to anticipate needs and develop options
  • Expert knowledge in Microsoft Outlook, Word, Excel and PowerPoint
  • Experience with corporate travel and expense software preferred
  • Must successfully pass a background check

$22 Per Hour      New York, NY 10016       2 Month Assignment
