A leading medical institution is seeking an Administrative Assistant to support its telehealth access services team by coordinating patient intake, registration, scheduling, and case management activities, ensuring a seamless experience by managing inquiries, reviewing medical records, coordinating with physicians and clinics, and providing administrative and operational support for telehealth programs.
Administrative Assistant Responsibilities:
- Serve as the primary point of contact for telehealth patients by managing inquiries, facilitating access to care, obtaining demographic, insurance, and medical information, and documenting case status throughout the patient journey.
- Register patients in Care Connect (Epic) and Salesforce, organize and upload medical records, review documentation, triage cases to the appropriate physicians, and collaborate with case managers to ensure timely patient care.
- Coordinate telehealth appointments by working closely with clinics, physicians, and operational teams, attend telehealth visits as needed, and manage follow-up activities to support continuity of care.
- Maintain accurate patient records, provide administrative, regulatory, and operational support for telehealth services, and communicate effectively with internal departments, clinical leadership, and external partners.
- Identify process improvement opportunities, develop new workflows and procedures, and contribute to enhancing the efficiency and quality of telehealth operations.
Administrative Assistant Qualifications:
- 6 months of clinical or healthcare administrative experience (clinic experience preferred).
- Experience with Care Connect (Epic) is required.
- Experience with Salesforce CRM, patient registration, medical records management, scheduling, or telehealth coordination is preferred.
- Strong organizational, multitasking, communication, and customer service skills with exceptional attention to detail.
- Ability to work independently while collaborating effectively with physicians, clinics, case managers, and operational teams.
Shift:
- Monday to Friday, 8:00 am to 5:00 pm.
