Job Description

Administrative Assistant - Order Fulfillment

Account Management

  • Single point of contact for Major Account Customers
  • Create, manage orders for Major Account customers
  • Schedule customer meetings, create reports and agendas
  • Monitor metrics, identify anomalies (Extended TAT -Turn Around Time- etc.)
  • Track outsourced orders
  • Escalation if necessary of Major Account Customer issues

Incoming Orders

  • Receive and respond to incoming phone calls, emails, and requests for service and updates
  • Participate in Daily Morning Meeting with Technicians and Logistics
  • Query Order Management System (OMS) for incoming orders
  • Monitor pre-arrival reports and e-mail from Major Account Customers
  • Check capability with technician or manager and re-route unit as necessary
  • Make recommendations on capability changes in OMS

Orders in Process

  • Monitor orders approaching schedule/reschedule date
  • Obtain updates from Technician

Complete Orders

  • Check unit for cleanliness (clean if needed)
  • Insure accuracy of documentation/ create certificate
  • Move unit to shipping
  • May box unit and prepare shipping label
  • Enter customer support requirements as needed
  • Track orders
  • Manage databases
  • Coordinate Service Orders with 3rd party vendors


  • Assist daily un-box units, lifting up to 35 lbs.
  • Inspect units for damage
  • Query OMS for Service Order
  • Verify model/serial number and update OMS
  • Print ID Tag and move unit to production

Site Maintenance

  • Local contact for landlord
  • Order supplies (Administrative, Kitchen, etc.)
  • Report site maintenance issues

Support of Extended Teams

  • Provide Logistics support for extended teams 
  • Provide general admin support (Database entry, support, etc.) for extended teams


  • Exceptional Customer Service, includes demonstrated client relationship building
  • Comfortable working in an office, tech lab, and shipping setting
  • Advanced data entry skills, strong attention to detail and follow-up
  • Outstanding communication, negotiating, problem solving and interpersonal skills
  • Understand service metrics and application to delivery
  • Teaming/collaboration and decision making skills (resource management, team building)
  • Self-starter, enjoys a challenge, with desire to exceed customer expectations
  • Focus on quality while multi-tasking
  • Ability to monitor, recommend and facilitate process improvements
  • Team oriented, but able to work independently
  • Excellent Verbal and Written Communication skills, Listening skills
  • Ability to work professionally under pressure
  • Proficient with MS Office Products and computer applications
  • Experience with Project Management and Development a plus

$19.50 Per Hour                             Arlington Heights, IL 60005                          24 Month Assignment
