Administrative Assistant

Provides administrative, project management and analytical support to the Director. Applies acquired job skills, policies, and procedures to complete substantive assignments / projects / tasks of moderate scope and complexity; exercises judgment within defined guidelines and practices to determine appropriate actions.  Functions with a high degree of autonomy and attention to detail.  Must be an independent problem solver and able to work in a fast-paced environment.


  • Maintain calendars; schedule meetings/conferences; coordinate and manage correspondence; handle all communications in confidence. 
  • Ensures front administrative processes and office operations run smoothly in directors’ offices. Demonstrates good judgment in selecting methods and techniques for obtaining solutions.
  • Develops and implements efficient and effective systems for managing information, projects and communications to ensure accurate and timely responses.
  • Functions as the gatekeeper, understanding the requirements of the directors, in order to prioritize issues according to urgency and to allocate time for scheduled events, travel and meetings.
  • Assess and forward situations and issues presented by staff, faculty and external constituents to appropriate staff members for resolution.
  • Participates in the development and implementation of efficient and effective systems for managing information, projects and communications to ensure accurate and timely responses.
  • Investigates issues and problems; drafts and prepare responses to urgent requests.
  • Timesheet and payroll processing.
  • Expense reimbursement processing.


  • Intermediate to advanced knowledge of common organization-specific computer applications.
  • Ability to multi-task with demanding timeframes.
  • Intermediate analytical / problem-solving skills.
  • Strong communication and interpersonal skills.
  • Ability to use a high level of discretion and maintain all confidentiality.
  • Familiarity with the organization's processes, protocols and procedures.

  • Bachelor's degree in related area and / or equivalent experience / training.
  • Knowledge of medical center, campus or other academic medical center setting.

 Possibly a Temp to perm

 $25-$35 Per Hour (depending on experience)     San Francisco, CA  94143         12 month contract
