Job Description:

The Disbursements Manager oversees all functions of Payroll and Accounts Payable ensuring accuracy in monies distributed to employees and off-site vendors. The Disbursements Manager must be detailed-oriented in order to facilitate a high volume and payroll, T&E, invoice, and purchase order requests. The Disbursements Manager must ensure timely processing to meet payroll processing and department deadlines. Additionally, the position facilitates various audit and budget related reports.

Areas of responsibility/accountability:

  • In charge of processing semi-monthly payrolls for 450+ employees using ADP
  • Manage daily Accounts Payable activity including invoice processing, employee T&E reimbursement, W-9 authorization, Purchase Orders and vendor maintenance using Great Plains
  • Prepare salary budget files and process budget reports to assist the Finance team with the annual budget process
  • Supervise annual 1099 tax reporting for Accounts Payable
  • Enter semi-monthly payroll journals in Microsoft Great Plains
  • Perform monthly general ledger reconciliation of payroll and benefits accounts
  • Administer and maintain employee AMEX cardholder balances
  • Oversee Board of Director expense reconciliation and process correspondences as needed
  • Coordinate monthly maintenance of employee petty cash box
  • Organize Workers Compensation and Payroll tax related audits
  • Assist with various projects and upgrades as needed

Qualifications and Requirements:

  • Bachelor's degree with emphasis in Accounting or at least 5-10 years’ experience in finance
  • 3 - 5 years supervisory experience
  • Working knowledge of both payroll and accounts payable 
  • Working knowledge of travel & expense reimbursement processes and purchase order processing as well as corporate card management experience
  • Experience using ADP Workforce Now and Custom Reporting, Enterprise eTime, Microsoft Great Plains and Microsoft Office
  • Knowledge of internal controls required in a disbursement environment
  • Ability to handle confidential information in a discreet and professional manner
  • Ability to manage multiple areas and projects while simultaneously meeting payroll and departmental deadlines
  • Ability to identify, analyze, and implement process improvements, including new technology pertaining to the disbursements area
  • Highly developed written and verbal communication skills
