Job Description: 

This position will provide assistance to the Associate Director, Payroll and Equity in the day-to-day payroll and equity tasks.  This position reports to Associate Director, Payroll and Equity. 


Responsibilities include, but are not limited to: 


  • Preparing and reconciling the semi-monthly and bi-weekly payroll for exempt and nonexempt employees on a timely basis for 300+ employees 

  • Coordinate with third-party payroll provider and review the completeness and accuracy of payroll, including review of new hires, terminations, and master-data changes against source documents 

  • Responsible for communicating payroll deductions changes such as 401K or ESPP to third-party payroll services. 

  • Administrator of timekeeping systems; resolve all Timesheet related inquiries 

  • Owner of Payroll Inbox, answer and resolve all payroll related inquiries 

  • Ensure timesheets are submitted and reviewed by all relevant departments 

  • Prepare all journal entries and reconciliations for payroll, benefits, and stock compensation. 

  • Prepare annual tax-related documents for payroll and equity transactions. 

  • Administrator of Company’s equity and financial reporting system, ensuring that all equity transactions such as grants, cancellations and exercises are accurately recorded in a timely manner 

  • Review and approve all equity related payroll transactions and ensure compliance with tax withholding requirements  

  • Maintain all aspects of employee stock purchase program which includes leading bi-annual plan enrollment sessions, recording all purchase transactions and ensuring contribution elections and changes are processed in payroll and equity systems 

  • Ensure payroll and equity records/processes maintain compliance with applicable laws and company policies. 

  • Support internal and external auditors by preparing timely PBC requests and responding to questions. 

  • Comply with company policies, including the performance of SOX internal control procedures with high-quality documentation. 

  • Assist with reporting materials for internal and external parties. 

  • Other duties as assigned 


Position Requirements & Experience: 

  • B.S. in Accounting   

  • 1 + years of a combination of payroll and stock administrator experience. 

  • Demonstrated professionalism, reliability, flexibility, attention to detail, and an ability to maintain strict privacy of confidential financial data. 

  • Ability to prioritize assignments, deal with interruptions, and meet deadlines in a fast-paced and growth-oriented environment  

  • Excellent organizational skills and an ability to prioritize effectively to deliver results within reasonably established timelines.  

  • Ability to work independently and as part of a team.  

  • Strong interpersonal skills including verbal and written communication are essential in this collaborative work environment.
