The role

This role is integral to the business. As the Office Manager, amongst other things, you will responsible for organising all of the administrative activities that facilitate the smooth running of an office. This includes the organising of people, information and other resources. You must make sure that office equipment is maintained, relevant records are up to date and that all administration processes work effectively.  You will support the Executive team and take some of their administrative workload so they are free to carry out their own jobs.  

 

Responsibilities:


  • Schedule meetings and appointments on behalf of the Executive team.

  • Arrange all travel and manage expenses for the Executive team.

  • Responsible for coordinating and preparing materials for Board meetings.

  • Assist in the recruiting & onboarding processes for new hires with the Head of Talent.

  • Maintain the office condition, arrange necessary repairs and coordinate improvements.

  • Manage payroll, employee expense claims, and employee personal development budgets.

  • Issue invoices to customers and monitor payments.

  • Update and maintain company policies as necessary.

  • Organise office operations and procedures to maximise efficiency.

  • Arrange all IT and office equipment.

  • Look after employees’ needs and answer their queries relating to office matters.

  • Plan in-house or off-site activities, like parties, celebrations and conferences.

  • Liaise with all office-related service vendors and manage contract and pricing negotiations.

  • Ensure compliance with regulatory filing deadlines (Accounts, VAT return etc.)

  • Preparation of grant applications.

  • Greet and provide general support to visitors.



Requirements:

  • Proven experience as an Office Manager,

  • Experience in a startup or fast growing company 

  • Outstanding organisational and time management skills with ability to multi-task and prioritise high workload under tight deadlines.

  • A creative and naturally inquisitive approach,  with an ability to suggest improvements.

  • Knowledge of office management systems and procedures of international companies.

  • Trustworthy with good judgment, discretion and confidentiality.

  • Excellent knowledge and competence with G-Suite and Microsoft Office.

  • Attention to detail and problem-solving skills.

  • Fluent in English with a high level of written and verbal communication skills.
