Volunteer Receptionist

About the opportunity

Age Concern Colchester is a charitable organisation that looks after the welfare of individuals of 60 years+ to support them in later life. Three key ways that we do this are: -

- To provide support in identifying benefit applications and support in completion - £1.4m per year in benefits delivered
- A befriending service matching individuals with the needs of the older generation - we have 24 befrienders
- Sourcing suitably referenced individuals to support with handyperson activity

The charity has gone through significant change over the last couple of years and is now an independent charity but reaches people across the borough of Colchester.

We have an amazing new centre in Colchester which aims to engage with those in later years through friendship and to support with help, information and support.

What are they looking for?

Duties to include: -

Reception

  • Greet visitors with enthusiasm and aiming to support empathetically
  • Contact internal team members with guest arrivals
  • Make visitors feel welcomed when in reception
  • Receiving phone calls from those in later life who need support
  • Sensitively asking questions to understand the issue and take down personal details
  • Log the call on our systems
  • Where possible forward calls to the relevant person who deals with the query
  • If the query is outside our remit signpost to relevant charities / agencies
  • In quieter times on reception engage with visitors who are having refreshments and get to know them

Admin

  • As part of a project team reduce paperwork on case files to a minimum
  • Scan files to email
  • Load into our new CRM system
  • Shred paper files
  • Tick off completion on a checklist
  • Actively work to support the wider team in quieter times on reception


We are particularly interested in an individual who has any experience in using Salesforce.com for charities but appreciate we are asking a lot so please don't let this criteria put you off applying

Practical Considerations

  • Sometimes our callers are distressed and need a calming influence
  • We require individuals who are computer literate
  • Some people are great on the phone and love this type of work, please only apply if you feel that you would enjoy speaking to people and make a difference due to your positivity and level of helpfulness
  • We DBS check and reference all volunteers who have contact with clients, there are no costs involved for you
